MAYRA DIAZ: Thank you, Mandilee. Good afternoon, everyone. Thank you for joining us today. We are looking forward to providing an overview of the CAEP three-year and annual plan, walk through some of the live NOVA enhancements, and then also the NOVA budget work plan. Next slide, please. So thank you for joining us during this lunch hour. As mentioned, what we're going to cover today is the annual planning processes. We know that most of you have been spending a lot of time preparing and working on developing your three-year plan. So this may be more of an overview for you. We're also going to walk through the annual plan and member budget work plan policy overview, followed by a live NOVA demonstration walkthrough for all three-- three-year plan, annual plan, and the member budget sections. And we will open it up at the end for questions that you may have. Next slide, please. Joining me today-- well, first off, my name is Mayra Diaz. I'm the program lead for the Adult Education Program with the Chancellor's Office. Happy to be here with you all today. I also am joined by our colleague, Diana Batista, from the California Department of Education. We also have Susan Wynn, who is the senior project manager with KAI partners, and she will be assisting us today with conducting the live NOVA demonstration. And we are also joined by Mandilee Gonzalez with CAEP Tech, who will also be partaking in today's session and also assisting with the questions that you may be dropping in the chat. Next slide, please. So to kick us off, we know that this is a very, very busy planning year in CAEP plan for you all. And we recognize all of the deliverables that are unique to 2025, given that this is a year of three-year planning. And so just to provide you with a high-level overview of the processes, some of the key dates to keep in mind-- we started off in January, February with the preliminary allocations. We actually had a webinar. What was that? Early March, a couple of weeks ago. Released the preliminary allocations. We talked to you about the CFAD already. Most of you are more than likely having your meetings, and discussions, and determining the allocation distribution. The CFAD want to put in a plug that is due May 2. We hope that you are able to get that submitted no later than by that deadline. You're also having discussions around carryover compliance and whether to incorporate a continuing or add a carryover threshold tracking as you're completing the CFAD. And what we're going to talk about today, which is the three-year plan, which is due June 20. All of the members are to participate and submit and approve the three-year plan. As we get into May and August, the final allocations for Cape consortium and member level is released, and that is dependent upon the-- once the May revise is released, the June or the governor signs the final budget. We are then able to develop the final allocations and so critical to have that CFAD submitted no later than May 2 so that the CAEP office is able to develop the final allocations. You'll also work on any allocation amendment steps that are due by September 1. And then that leads into the next deliverable, which is the annual plan, and that is due August 15. There are-- and we're going to walk through some of these deliverables, like the three-year plan, annual plan, and member budget work plan in today's presentation. Member budget work plan is due September 30. In addition, that is a very key date, the September 30, because of the carryover compliance snapshot that will be taking place along with the fiscal quarter for certification that is so critical in order for us to monitor and track the carryover compliance both at the member and the consortium level. So we know that it is a very busy planning year for you all, and we're hoping today we can help provide you with some information and resources as you are in the middle of working on all of these deliverables. Next slide, please. So I'm going to provide you with a high-level overview in the next couple of slides of these sequences. In the prior slide, you saw the back to back deliverables that we have. And there is an implication to those deliverables when it comes to the technical aspect in NOVA. And so how this all works is now that the CFAD is available, preliminary allocations are also available. The CFAD would need to be certified in order for the three-year plan to become available. I know that there are some consortia you're able to access the three-year plan already. It would need to be certified in order for you to proceed with submitting and approving that three-year plan. Once the three-year plan is certified, then the annual plan will become available. And I know that's such a short window that you're going to have, so it'll be key to plan accordingly. There is a template that we're actually working on and guidance, so stay tuned for that. So you should be able to view in advance what that looks like and prepare to have those conversations and planning meetings for the annual plan that will be due in August. Lastly, once the annual plan is certified, then the allocation amendments are made available. The member budget and work plan becomes available for you. So just key sequence of NOVA deliverables. Next slide, please. Another reminder of these sequence of CAEP deliverables is the allocation amendments for NOVA. So you will have the ability to access the annual plan, and they are not going to be impacted by any pending allocation amendments. If you recall the timeline that we shared, once the three-year plan, CFAD, is certified or-- by that point in time, we're in the middle of June, July, and we're getting ready to release those new allocations for '25/'26, while you're currently working on the annual plan, so just know that the annual plan is not going to be impacted by those pending allocation amendments that may need to occur. And so if an allocation amendment is needed due to that final allocation once the state budget is released, you must certify the allocation amendment and post the new allocation amounts in NOVA by September 1. Any members affected by a pending allocation amendment will be unable to access the member budget and work plan, until after the allocation amendment is completed. So on the technical aspect with NOVA, given the continued deliverable, availability, and deadlines, there are some implications for you to access some of the deliverables, whereas examples with the annual plan and the pending allocation amendments, some might not. But we're hoping retain this PowerPoint slide deck or reach out to TAP, as you are working on these deliverables, and you're noticing some issues with accessing, or submitting, or making changes in nova. Next slide, please. And as we're going to focus on in today's presentation, starting off with the high-level overview of CAEP and the planning that you are undergoing, a lot of this-- just want to reiterate a lot of this is driven by education code for this program and based on the funds that you are receiving. The education code calls out the requirement of a three-year plan for the consortium and an annual update, which is the annual plan. And so we'll go more in depth. The three-year plan is going to be due June 20th of this year, followed by the annual plan. These two planning documents or planning processes, rather, are very important because it really gets the consortia and members to assess what are we planning to focus on for the next three years. And then it allows you to make any annual updates to that three-year plan. Most importantly, one of the issues or items that we've been most recently discussing a lot is the carryover compliance. And so that is also an opportunity to be able to address the carryover. Any carryover that consortium and members may have, looking and assessing the needs of the region-- how do you plan to address that carryover and try and capture in the three-year plan and possibly also the annual plan? And the deadline for the annual plan is August 15. Next slide, please. CAEP planning-- so at a high level, as far as the three-year plan, the Adult Education Consortium members, when it comes to planning for this, there are some key aspects and involvement from the consortium members to help compile and develop this three-year plan, which is bulleted below, contribution of data. Important to consider input from other entities. Determining the implications of this data and input for future adult education programs and charts a path forward. It really is a great opportunity to assess the needs, the services, the partnerships, and establish the next three years-- the strategic planning direction for the consortium. Next slide, please. A lot of this as mentioned is driven by education code, and here we are referencing some of the education code definitions. If you're interested in what defines an adult education region, who are the consortium members and who can participate-- and then also the three-year planning and annual update requirements are all identified in education code. Next slide, please. All right. I'm going to hand it over to my colleague, Diana Batista. DIANA BATISTA: Thanks, Mayra. Welcome, everyone. Good afternoon. Next slide, please. We're going to be talking about some of the specifics with the three-year plan. As Mayra just mentioned, it is mentioned and required in ed code. It's required as of the legislation. And I'm just going to summarize the highlighted part here. That the members of the consortium must have a consortia approved three-year adult education plan that addresses the three-year fiscal planning cycle. Next slide, please. And it's important, you know, as Mayra had mentioned earlier, that each one of these planning cycles, as they're completed and certified, will trigger the next round of deliverables. So in the three-year plan, we're asking that you do some evaluations. And I have a feeling many of you have already done some of this, because some of you I know had started, even as early as last fall. So we're looking for an evaluation of the educational needs of adults in the region, the types of education and workforce services that are currently available, as well as an evaluation of the funds available to members of the consortia. And this includes funds other than state funds. Next slide, please. We're looking to see what is the total amount of services that you can provide and how are you providing those services. We're also looking at how you work together collaboratively with all of the funds. In the three-year plan actions, we're also asking you to address the educational needs that were mentioned and identified in the first paragraph, as well as what actions members of the consortium will take to improve the effectiveness of their services. I see a question in the chat. What does that mean-- including funds other than state funds? What that means is that if you are using other grants or possibly WIOA, federal funds, or other things to provide services and supplement the services of the CAEP program, we're going to ask you to include that in your reporting. We'll get to that, I think, in a little bit. Next slide, please. So the three are planned actions, as you know, as we're looking at the three-year plan-- and I think this year will be pretty significant because we're a little bit better at pivoting as different things come up that we didn't expect. So we're going to be looking at what happened when we did the last three-year planning and looking at how you're going to write this plan to show how you will improve integration of services and transitions into post-secondary education and workforce. We're really looking at how you're tracking the placement of adults as they enter your programs, as well as how prepared are when they exit. Are you looking at alignment of academic standards and curriculum across your education and workforce services programs? As well as the qualifications of instructors, and then also the collection and availability of data. I see my colleagues are adding more in the chat with regard to other funding. Thank you. Next slide, please. So I think as I mentioned, many of you have started. So you know that the basics of the three-year plan include the list of entities that provide education and workforce services to the adults, a description of the services provided by those entities, as well as a description of the alignment of adult ed services, including plans pertaining to the building of career pathways and those required pursuant to the WIOA Act. And a description of which ways the entities identified contributed to the development of the plan. I'm going to get into that a little bit more. As Mayra had mentioned, we do require that you have contributions from all members, and then also recommended that you get information from other stakeholders and partners. Next slide, please. So we do have many resources for you. And one is the three-year plan guidance. Another is the three-year plan template, as well as we're going to get into the NOVA demo in just a few minutes. Next slide. This is the three-year plan guidance that I believe was released in early December. The template was released in early December, and you can see here that part of what we're looking for within the planning timeline is what I had just mentioned. Looking at the planning team to see how you're defining steps and milestones, make sure that you're identifying all the key stakeholders and that they are involved in the planning process, and that you're able to use the information that they provide. And some of the data that you might be using to inform your needs assessment include not only student enrollment and outcome data but your regional population and labor market data. And then let's do some surveys and look for student engagement and staff engagement. Next slide, please. And thank you, Susan, for putting the link in the chat. I like this graphic a lot. If I were you, I might print it and make it into a little mini poster and keep it handy because it really shows the flow of how we're working with the three-year plan, the annual plan, and how they really fit well together. OK, next slide. I think we're almost ready for the NOVA demo. Again, the three-year plan guidance is-- this template shows you the alignment of how you're working with other reports that are due, including the continuous improvement plan for SIP, as well as the Perkins review. Next slide. Even more resources. So you'll find all of these at the caladulted.org site, and we'll be sure to include this when we share these slides. And next slide. The three-year plan template I mentioned earlier was released in early December. And you are able to access it, work on what you're writing in like a Word document, and save it. Do your spell check and whatnot, and then you'll go ahead and copy and paste it to NOVA. OK. Thank you. Next slide. I think I'm going to pass it over to Susan Wynn. Thank you. SUSAN WYNN: Thanks, Diana. All right. I have the pleasure of being able to walk through these enhancements in nova that we've made for the three-year plan. You're going to see some things-- that updated guidance text, fewer narrative requirements, more selection checkboxes as prompts and to support data consistency. Data Vista metrics to be loaded in. Some are there. Some are pending. And the workflow. But the biggest change, which we think is really great, is that the workflows of the three-year plan now align with the annual plan. So they're both structured the same way with the objectives, and the activities, and outcomes. And I'm going to do things to point that out. So let me share this right now. Oh, I need to take over the share. There we go. Let's try that again. Perfect. OK. Everybody should see this now I'm in NOVA, and the NOVA login screen is there. Hello. Is it there? There we go. Good. Good. Is it sharing the NOVA screen? It's not outlined in-- can you see it? OK, because it's not outlined in green, like it usually is. MAYRA DIAZ: Just so you know, what we see as your whole-- like your whole desktop. So the multiple tabs along the top, but we are seeing the sandbox. SUSAN WYNN: OK. OK. OK, good. And it's just one monitor. You don't see the other? Correct? MAYRA DIAZ: Yes, Susan. We can see-- SUSAN WYNN: Thank you so much. [LAUGHS] So we started-- we're going to start here with the three-year plan. I have some things staged up here. And we're starting off by using for change. Instead of starting with Allen Hancock, we're starting with San Francisco this time. So just thought we'd change things up a little bit. And when you come into NOVA, what you want to do is you want to click on the CAEP program. You should actually have this kind of-- should be your thing already. You've logged in. When you come into NOVA, you log in via the link that's in the presentation and which is-- for you, it's Nova.edu. For me it's the sandbox because it's the demo. But then you come to the CAEP program on the side, and then you click on Consortia and Members, and it takes you to the screen that lists all of the consortia members. And then you find your consortia. You can browse through the 71, or you can just type in any part of the name. If you know your number, it'll bring that up. Or if you know-- if you just want to type in part of the name, it'll bring up whatever part of the name, so that's an easy search to use. And then when you click on the name-- and I'm skipping around. I've staged some stuff for the sake of time because NOVA sandbox isn't that fast. And I didn't want to spend the time on watching little spinning wheel. So we go through here, and this is your consortium's landing Home page, and it has all of the contacts and the consortium. It has the members of the consortium, and it has all of the deliverables, products-- the CAEP deliverables, products listed here-- with the exception of quarterly reporting. Quarterly reporting is found in fiscal reports, but we're not talking about that today. We are talking about-- we talked about the CFAD, so here's where the CFAD is found. And it does have to be approved before we can move forward into the three-year plan, which is what we're showing right now. But you can see that the allocations were there and made. You can see that we now have the three-year plan. It's in a draft status. We have the annual plan, which is not available yet, and it's not available yet because we have not completed the three-year plan. Once we submit and the approvers from each of the members approve that three-year plan, then that annual plan will become unlocked, and it will have one for '25/'26 available for you there. So there's just like an order of operations that goes through these things. CFAD, three-year plan, annual plan. Member budget work plan is available right here. And then there's the amendments section or the allocation amendments. And if you have any amendments pending or you need to, those will need to be taken care of before you move on to the annual plan. So those need to be completed. That's also a barrier to opening up the annual plan at times. OK. Back to the three-year plan. I have it open right here. You would just go and click on the button. But like I said, I don't want to spend the time on the spinning wheel. For that, you just click three-year plan right here, and it'll take you to the three-year plan screen. And it has a workflow. The workflow starts with details, assessment metrics. You can click on any of these and move around. I have just filled in test words throughout the whole thing. You can also navigate by clicking the Next button up or down. It does the same thing as moving through these tabs of the workflow. So I'm going to take us through the details. Was just an update confirmation about consortium details. And then the pre-planning assessment provide a brief narrative description. I know that everybody can read instructions, so I'm not going to read out the guidance for you. But we did try to add more guidance to this time to be able to have more explanation of what's needed. And so you would check mark the boxes to answer these questions. And you can provide further context. If there's an asterisk, it's required. Not all of the narrative boxes are required. Some are optional. But as we go through, it says provide names and types of the regional partner organizations your consortium works with. Well, you need to add the partner organizations. And you click the Add button, and I can type in San Francisco. Well, don't we want to work with the San Francisco Giants industry? Sure, we do. That's probably not a workforce, but maybe it is this time, for the sake of this demo. But that's it. It's as simple as that. Just add partner. It shows up, and then you can check mark more boxes, fill in more narratives, evaluate the needs, check mark the boxes for categories of needs in your region. And here's one that's optional. If you felt that the categories of needs that something wasn't available here in the check boxes, or you really need to provide further context around that, you can optionally do so in the narrative-- provide further context on needs of the adults served by your consortium and how they're unique to your region. And then what challenges do you face? We go through these. What populations are currently served? We go through these. You need to add contributors of your entities. List consortium members and others who participated in creating the three-year plan. So you will always at least select Add contributor, and you would-- this one doesn't have a lookup. This one you actually just type it in on your own. But then you tell what roll it is. Hey, this was an administrator, and they participated in the planning meetings. So it's pretty-- pretty user friendly, I would say, in that regard. And here, once you have your consortium member service providers enter the number, it will take this from-- these are your consortium members. It will take this, and you need to enter in numbers here. You have to enter numbers in every single one of these, even if it's just a 0. You still have to fill out a number in here for the different program areas. And then you can add service providers, if you have additional providers. And this one is a lookup. And good-- now, the film industry is providing services. And if they were additional, I would say, oh, they're going to help me with-- they'd be more likely to help CTE. Sure why not? And then they would show up in the annual plan later on, but we're going to demo Alan Hancock for the annual plan. So we won't see that. But when you check mark-- all these things that you're adding here and putting into the three-year plan, they become available for you in the annual plan. And that's something that's new this year, so the two are linked together, so you don't have to reenter things between the three-year plan and the annual plan. You just get to select it in. So what you're putting in here in the three-year plan becomes available for you to pull in and select in your annual plan. OK. So check mark more boxes, fill in more text, and then we're going to come to the metrics section. And the thing to note here is this first sentence is a big one in the instructions for CAEP asymmetrics. Each consortium is required to track the metric types of number of adult students and student barriers. So you will always have number of adults served show up in your metrics listing. I'm sorry. I moved the screen too much. Let me make that just a little bigger. And student barriers. And additional-- so therefore, the number of adults served and student barriers don't show up in this pick list section, but they do show up here in the consortium level metric targets section. Remember that instruction said all of the consortium are required to report on those two things, so these two things just automatically show up here. OK. The rest all relate to the members. Members are required-- an additional two metrics are required to be tracked by all members. So those two and two more adults served, who became participants, and percent of available funds spent. So student barriers shows up here for the members, and you can select what metrics go along with that. And then these are optional. So you can select them or deselect them. This ties to your annual plan, though. Remember, what you select in your three-year plan will tie to your annual plan. It doesn't mean that it won't be available. You can add them in your annual plan, even if you didn't select them in your three-year plan. That's totally fine. But it just makes your life a little easier if they're added here first. OK. Then let's see. Here's the consortium level. So this was just check mark which metrics you're going to use, and you're going to report on and select them. And then they're going to show up down here. And then you're going to fill in the numbers. Some of these numbers have not yet come in for the previous years, the history, and Mayra may be able to provide more information about that. That was data ingestion into NOVA, right? MAYRA DIAZ: So yeah, just to clarify on this. So we have '22/'23 targets already captured at the metric data. And we are currently working on ingesting '23/'24. As you may recall, that data just became available March 13, a couple of weeks ago. And so we're working with product ops. We're in the process of ingesting that '23/'24 data. SUSAN WYNN: Thank you. I made some errors when I-- so I need to show where my errors are. I didn't have this before, but I do now. 1, 2, 3, 4, 5-- OK. Let me just fill this out. And that's actually-- that's really good because that brings us to the next section of the member level metrics. So this one's the consortium level metrics, and this one's the member level metrics. And now, this is all the stuff that I check marked up above, right? Employment and earnings, progress, success, transition-- everybody has to do this one. And we see that up here. These are all the check marks that I had. And I unchecked one, and then I rechecked it. So it removed it, and I had pre-filled all these numbers. But when it brought back, when I rechecked it, they were empty, so I'm just going to dial in those numbers here real quick. And now, you can see that it still wants me too because I had it divvied up between the two. OK. And now the little error message has gone away. So we just keep going. And the last thing was the member spending targets. What do you plan to spend throughout the year I just put 100% on those. This is just, like I said, all test in our sandbox environment. For objectives, there are three objectives that are in the legislation. One of them is address educational needs. The other is improve integration of services and transitions, and the other is improve effectiveness of services. So one's narrative. The other is some check boxes and narrative, and then this is check boxes with the option for narrative as well. Filled that out. Went next. Now, Activities and Outcomes is also by objective. So for objective number one, address educational needs, we have the activities. And you will put these activities in here. It comes in completely blank when you first open this up and you hit Add activity. And I specifically-- did I do that on this one? Yeah. So I staged these out, but let me show you really quickly. You would just say-- oh, where did that go? Add activity. And it opens up a blank activity right on the page. And I can say objective number one, activity two. You just type it in. Type in whatever you want your activity name to be because this stuff will show up. Guess what? It'll show up to be available for you to pull into your annual plan if you so choose. And this will address this. And you have to have a responsible person. And so I just had the administrator. This was the stuff I had previously put in there and picked it. You just type in the responsible position. This is a pick list of which member in your consortium. And you add that, and I'm going to go on to funds evaluation. So it's just-- yes. Is this right? Sure. It's a Test, Preview, and Submit. When you're all done, you review the whole thing. Everybody submits. I'm just going to go through, preview the whole thing, and submit. You sure you're submitting for review? Yes, I am. It will then show up for the contact leads for-- each of the members will receive a notification from NOVA that says this has been submitted, and you can review. You can also send-- waiting for that to go through. You can also send-- let me see if we have it here. There are comments here, and you can also send messages once this finishes. You can also send messages now to the people who are the approvers. So if you scroll down to that approver section, there's a little option to send a message to them. And that would come through NOVA. And that's not done yet, but I'm going to stop the screen share because that took quite a while. And I'll pass that back over to-- who's next? Thank you, Madeleine. MAYRA DIAZ: Thank you, Susan, for that walkthrough. I know that was a lot. That was really good. And now, we're going to walk through the annual plan overview, and then we'll transition into the live NOVA demonstration. So next slide, please. So just a quick brief policy overview with the annual plan, which is also outlined in ed code. It basically calls out that the primary plan is the three-year plan that must come with an annual update. And so the way that that's translated is via this annual plan. And we heard a lot about the challenges of not being able to actually update your three-year plan in your annual plan. So we appreciate all the feedback that we heard during the last three-year plan cycle, and we're able to incorporate it in this year's release of the three year plan and in the alignment of the annual plan. Next slide, please. As mentioned, education code outlines that the annual plan is considered that annual plan update to the three year plan. It is a subset of the three-year plan in that upcoming fiscal year of focus. The annual plan includes updating your activities and metrics. It has to be certified. Same like the three-year plan, it must be certified by all consortium members. And then I wanted to flag-- so we are now entering June of 2025 when your three-year plan is due. We are now going to embark in that new three-year planning cycle. Therefore, the annual plan that you are going to work to produce that is due August 15 will be the '25/'26 annual plan. And for the next three years, the annual plan will be aligned to the '25/'28 three-year plan. Next slide, please. Walk you through high-level of the sections that you're going to see. We did actually work on a few alignment. Similar to what we did with the three-year plan, just realignment to make sure everything flows with what took place in the three-year plan. And that includes some of the sections. So you'll see the plans and goals section. You're still going to identify your executive summary. And there's also section number two, which is the assessment section, where you identify the gaps, the needs, or the reasons for the gaps. And then section number three-- the activities and outcomes section. And this-- you'll pay close attention once Susan conducts the live NOVA demonstration. In this section it's actually where you will have the opportunity to either continue with the activities that were identified in the three-year plan-- those are going to populate into the annual plan, and you can select, just like you did the last three years. Or you will have the opportunity to add a new activity if you're planning to focus on that activity within that year. A reminder that once the three-year plan is submitted, it's certified, and it's closed. So we're not able to make any changes to the three-year plan. You do go in and you update your targets, but we're not decertifying the three-year plan. There's no additional opportunities to add any new activities. And so that is now going to be captured in the annual plan. You'll have the ability to add a new activity. And then in the next slide-- we can transition to the next slide, please. There is section number six, which I'll talk about in just a bit. Section number five, similar to what you're accustomed to, the fiscal management section, there is a new-- either a new question or a reframing of the question. Because we're now working with carryover compliance, we do call for you to address that carry over compliance-- how you're assessing carry over funding in relation to the tracking of carry over compliance. So you'll notice that as well. Section number 6 will be a new section in NOVA, but it really is where you're going to see what are the continued three-year plan activities that as a consortium that we actually called out in the three-year plan versus how do I know what is new? Because once we enter into year two of the annual plan, you may lose track. And so the system is going to track for you that the annual plan activities that you've added in, let's say, '25/'26 and then '26/'27. And so it'll be a dashboard that displays these new activities and identifies for you what is pulling in from the three-year plan versus what is new. Section seven-- obviously, you'll be able to preview and submit your three-year plan. Next slide, please. And we'll be able to walk through and demonstrate that for you once we're doing the live NOVA demonstration. A reminder that the annual plan can have a mixture of new or existing activities. The annual plan if-- I did want to highlight as you start to work on '25/'26, '26/'27, '27/'28 annual plans, it starts-- especially because you just are going to finish up your three-year plan, so it may become a little bit redundant. Do your best to capture anything that's new. I did want to reiterate we use this section of the executive summary from the annual plan in our annual legislative reports that we share with the legislature. So there is a section there that we actually do extract. Incorporate that into those legislative reports. And so as you're working on that, try and find what are some new things that you guys are identifying or calling out. Next slide, please. You have the ability to send a reminder in NOVA. As you submit, especially for those larger consortium with multiple members, you need to flag them. You're able to select-- you're able to click so that it sends them a NOVA reminder. Also the consortium annual plan activities are going to drive the next deliverable, which is the member budget work plan. And we do have some space to talk about that today as well. The member budget and work plan must be certified by October 30. And the activities that you're identifying in the annual plan are for that fiscal year-- July 1 through June 30. Next slide, please. All right. I'm going to hand it over to Susan. SUSAN WYNN: Wait till everybody comes back to me. So I think maybe some of the most changes came into the annual plan, and we're going to walk through those, again, really quickly here, since we're running out of time. Let me find that screen share, and let's do this again. OK. So we're back here on the consortium page. And this time, I am going to have Alan Hancock as our example because I've got them all staged up for the annual plan. So we can see that annual plan right here is in draft mode. So we can look at it. So starts with your goals, executive summary, some boxes to check, some radio I, should say, to check-- some boxes to check, some text you can put in. And notice these are also optional. Just if you want to provide further context, you can use next, or you can navigate through the workflow tabs. You can check some more boxes, and you can provide some more text for your assessment, for the needs, gaps, and resources-- the regional needs assessment. And the guidance for the annual plan is forthcoming. That should be out pretty soon. Mandilee can-- Mayra or Mandilee can probably speak more to that. MAYRA DIAZ: Yes, we are currently working with Mandilee. It is almost ready to be released, so I would say in the next week or so. SUSAN WYNN: So you could look for that on the CAEP website. MANDILEE: Yes, and we'll make sure we send out a direct message as well. SUSAN WYNN: Excellent. Thank you. So this is the biggest change. So this-- and let's come back to our three-year plan that we can see here for San Francisco is aligned with this, the sections-- we don't have the workflow open anymore, so we can't actually see those sections, but it does align with them now. And if I look-- I can-- there's also now a button, so that I can look at the three-year plan that was done. So and it'll open it in a new tab, and this would be the test staging three-year plan that I put in for Allen Hancock, so that we could get to the annual plan demo. I'm going to just show it, instead of letting the buttons spin. But this is what-- this is what it looks like. It looks a lot like the consortium homepage at first, but then it doesn't. Then it goes into the assessment section, regional alignment priority section. So you can reference this while you're working on your annual plan, if you so choose. Meanwhile, this is a section activities and outcomes notice. It's organized by objective, just like this was organized by objective two when we got to that objective section. And so we came through. There we are-- objective one, objective two, objective three. These were the activities within the objectives. So we have the same thing here-- objective one, objective two, objective three. These appear completely and totally empty when you first see it. I've added in some tests, and these I just pulled straight from the three-year plan. If I want to make a change to it, I can. I can change what was here. And I can select from the barriers that were selected in the three-year plan that referenced this particular activity. And then I can add a responsible person. You have to add a responsible person. Somebody's got to be responsible for it. And then you can do it again if you want. And you can choose to pull it from the three-year plan or-- where is it? Oh. Or create a new activity. There's a little link right there. So create a new activity or select one from your plan. I could toggle back to the three-year plan or toggle back to the H activity. And I say this is a new activity. So even if it wasn't your three-year plan, you can just type in a new one. Great. And just typing in some things to fill in the boxes here for us-- those are the barriers we had identified and somebody has to be responsible. The administrator from the CCD is going to be responsible again. There we go. So I wanted to also start one from scratch and pull it in to demo from the three-year plan. So Lorem, what's the test for the objective number three? And I'll just add the activity. There was one option. I added it. If you have more than one option, it will show you more than one option that you made in your three-year plan. I can change it, right? Or I could just-- like I did before. And meanwhile, we have a responsible person. It also brought that in from the three-year plan. So I'm like, I don't need to make any changes and this section is completed. Then we have the Fiscal Management Section, which is text boxes, and check boxes, and instructions. And what's new this year also is this feature for objectives and activities. When I had something that was incomplete, it showed that it was incomplete. So this is just an overview that the consortium can use when they're reviewing, and they can see that each one of the objectives was addressed and where it came from. Did they just make it a new activity themselves, or did it come in from the three-year plan? It's Just an eyeball visual check piece. And then preview. Of course, preview the whole thing. You can print a template, too, for it. And then you would just submit if it came down to it. You can put in a note. Hey, we're testing this. Great. And this note will get sent to the approvers with you. That was the note I referenced before. And I can send a reminder and be like, hey, can you guys check on this please? And it'll say, oh, the reminder was sent. Gives you a little message. That concludes our annual plan demo, and I'll return the screen back. DIANA BATISTA: Thanks, Susan. That was really a lot of information. You can go ahead and go to the next slide. So I'm going to just talk very quickly about the member budget and work plan overview. We talked about how that becomes available after the annual plan is certified and after any allocation amendments are certified. Please make sure you do the allocation amendments before you start the annual plan. It has to be completed before you can get to the member budget and work plan. The member budget and work plan can be worked on, but not submitted and certified, until the prior year's quarter for fiscal reporting is certified, and I hope that makes sense to everyone. Go ahead. Next slide. We have another setup of NOVA enhancements. We've been really busy with NOVA. I'll go ahead and turn it back over to Susan, but I just want to have you, as she's setting up, think about this-- date myself a little bit. Think of it as the hokey pokey. You have to put the seat bed in. The members have to certify. Put the three-year in, and the members have to certify. You get the idea. You can sing along. Go ahead, Susan. SUSAN WYNN: You do the hokey pokey-- no. We're being recorded. DIANA BATISTA: Yeah. Shake it all around. There we go. SUSAN WYNN: That's it. DIANA BATISTA: I don't see your screen yet. And so the '25/'26 member budget work plan is located-- again, I just got there from the consortium landing page, and I opened it up, and here's the workflow just per usual. I'm just doing a test, and you just enter the budget and member work plan, just as you normally would. There isn't anything different with this than previously done. And you can do you can-- you can duplicate this if you want to for the same allocation for that member. You can add a new budget item for the same. And then when you go through the quarterly expenditure forecast, how much do you expect to have spent in Q1? Oops. Sure. Why not? And then you go into the preview, and it will show the results. And it will pull in objectives from the annual plan and show how the budget aligns to that. Which since the annual plan isn't approved yet-- because I just finished that demo a couple seconds ago. We don't see that, but it'll work. So I'm going to say-- and if it doesn't, we have resources on the next screen, so that concludes that demo. The member budget and work plan goes by pretty quickly. This is my first year doing a strategic plan. On the dropdown options for the strategies in NOVA, we would select pretty much all those strategies that we're going to use to meet the objective. When we write the activities, are we writing to those strategies? So for example, if I select professional development, I need to make sure my activities address that strategy or-- so is it like a one to one match? Like I should have an activity for professional development. I should have an activity for if I do apprenticeship. Is it paired to the strategy, or am I just listing some of the activities that we're doing to address the objective? MANDILEE GONZALES: So I will start-- so you were talking three-year plan. Right, Joyce? JOYCE LIOU: Yes. Yes. MANDILEE GONZALES: So in year three-- oh, no. That's OK. And I don't have NOVA up, but I don't know Susan if you still have it up just to give a visual, if you don't mind. So when you select your objective, you will then be able to select your activities that meet those objectives. But you don't have to-- you only have to-- so wait. Let me back up. There are two that you always have to do. You can choose to enter into other objectives and depending on what those are, your activities would then follow. I know it's really-- I'm speaking broadly because it really depends specifically to what you are looking at. And if you want, we can always set up a one-to-one, and we can talk specifically about your consortium and what you're of toggling between, and we can walk that more specifically. JOYCE LIOU: That would be great. MANDILEE GONZALES: OK. Then tap an email, and then we can schedule that for you. No problem. JOYCE LIOU: OK. That would be wonderful. Thank you.
