(DESCRIPTION) Janice Fera (SPEECH) JANICE FERA: Thank you so much. I want to welcome everyone to this webinar today. We're going to go through a few of the overviews that Jay covered in his presentation last Tuesday and last Thursday. And then we're going to dive straight into TOPSpro Enterprise, which I lovingly call TE as its nickname. You'll see that used throughout the presentation. Next slide, please. Here's a peek at the agenda. (SPEECH) We're going to look at three major areas. One is classes, the other is attendance, and the third is students. And this presentation actually came about-- I started back in February putting together a presentation for TDLS. That's OTAN's Technology and Distance Learning Symposium. And I had to decide between a PowerPoint and a live demo. And so I was doing a lot of live demoing. And every time I turned around, I would see everyone in the room with their iPhones up taking pictures and videos of the demo. So it makes more sense to me today to make a presentation for people who like pictures. So there's lots of screenshots in here. I'm not going to dwell on it so much, because this is such a big group. What I'll do is I'm not really planning to stop for questions. I'm not going to get into too many of the weeds. But what I'm hoping is that, as we get through the slides, I'll be able to address most of the things that are coming up in your mind. So that's our little bit of housekeeping. I want to say thanks to Jay Wright. I pilfered several of his slides. I stole all of his examples. Next slide, please. I want to say right off the bat, I am not presenting any new policy. This is reiterating what Jay communicated from his Frequently Asked Questions document, which is posted on OTAN, the PowerPoints which he's shared. And also, there's a document I want to aim you at. It's called Distance Learning Overview March 2020. This has a very-- it's just got a few screenshots with a few overviews. It was the beginnings of what this presentation turned into. Now, as a caveat, this is not a beginner presentation. This is not TE Basics. So in order to cover everything in one hour instead of 2 and 1/2, I'm going to fly through and with the understanding that that's where I'm coming from, as a caveat. Now, let me just ask you if there's any beginners in the audience who've never seen TOPSpro Enterprise, who this is brand new. If you want, you can put in the chat box "new" or "please connect me for a TE Basics webinar," and we will do that. Just getting started. So next slide, please. And we've all been taking a crash course in distance learning. All kinds of new vocabulary, like clock time versus learner mastery and blended versus hybrid. So through this presentation, I'm going to touch on some of the vocabulary. And hopefully we'll all come away from it just a little bit smarter than when we started. So next slide, please. (DESCRIPTION) Title, N R S Rules for Distance Learning, A, The 50% Rule for Classes, B, Three Types of Attendance Models (SPEECH) And I see in the chat box, if you mentioned your new to TE, be sure to include your email if you would like. Thank you. The NRS rules for distance learning. It's actually really simple. There's only one rule, and that's called the 50% rule. We're also going to talk a little bit about the different kinds of attendance models. Next slide, please. (DESCRIPTION) N R S 50% Rule for Classes (SPEECH) So here's the one rule. If more than 50% of the class instruction time is in distance learning, you need to mark in the class "distance learning," just a little checkbox. And if the opposite is true, if the class is less than 50%, equal to 50% or less, which we sometimes call blended or hybrid classes, you don't mark it. Pretty straightforward, right? Next slide, please. (DESCRIPTION) N R S Rules for Classes (2), Individuals in Distance Learning programs have the same data collection requirements as other W I O A, Title 2 learners (SPEECH) Now, even though brick and mortar classrooms are not being used, we still have the NRS rules for collecting demographics, barriers, and outcomes. (DESCRIPTION) You are NOT required to mark exactly which hours, what percentage of hours is D L but may specify in T E exactly which hours are Traditional Instructional hours vs which hours are Distance learning (SPEECH) But you are not required to mark certain things, which are a level of detail that's considered too great, for example, the hours. Like if your teacher is now remotely teaching the classes, you don't have to mark that it's between 8:00 and 10:00 in the morning. And likewise, the percentage of hours that your students are spending doing distance learning doesn't need to be marked either. It doesn't-- at 35%, 38%. You don't have to go down that far. But we do have a new interface which allows us to mark traditional instructional hours as well as distance learning hours. And that I am definitely going to show you. That's my favorite slide, number 40. So if you need to quick, go grab a drink of water or something, be sure to come back before that slide. Also, marking classroom plus distance learning under the instructional settings, that's an old field that's not currently used by TE. But it may be something that would be helpful for your agency in terms of keeping track of the fact that the classes may have shifted from where they were back in August or even back in January, that what was once a 100% classroom, it may be now classroom plus distance learning. Next slide, please. (DESCRIPTION) Summary, N R S Rules for Classes, 3, Two key considerations for recording distance learning activity in T E (SPEECH) So to summarize, make sure that your data has the 50% rule marked, sometime between now and June 30th when the data is due for the end of the year. (DESCRIPTION) This is required. (SPEECH) And however, all distance learning activity, all of it, the level of detail, that part is not required. So the game right now is to get the attendance entered and then get your Q3 data reports prepared. And then we'll talk about the rest of it. So next slide, please. (DESCRIPTION) Classes, two commonly observed approaches, A, Pick up where you left off, B, Start new classes specific to D L (SPEECH) And I see some of the questions in the chat. And yes, I'm going to cover that about your long classes versus short ones. I'm going to use Jay's phrase because I love it. "Pick up where you left off." And that pretty much signifies what I would say a large percentage of our schools are doing. That is, we used to have a Monday, Wednesday class, and the teacher met from 10:00 to 12:00 with the students. And now, the teacher suddenly has got a Zoom account and a laptop, and the students are connecting in a different way. But it's still, picking up where you left off signifies that we have a class where the delivery has changed. Starting new classes specific to distance learning is a little bit of a different beast. That's when the class has drastically reduced its objectives. It's reduced the student enrollment significantly. There's new material. Maybe you combined classes so that you had three instructors previously, and now you're down to just one. So those are times where you would use part B. Next slide, please. (DESCRIPTION) Grab Your Calendar, Calculating the 50% at the class level depends on how your agency has structured classes in response to COVID-19. Full year, semester, 12-week classes (SPEECH) Here's a question. When you look at your classes at your agency level, there's a lot of different ways. I mean, when I look around in the California server back at CASAS, and I can look at agencies, sometimes you've set up your classes using a full year, like a lab starts in August, goes all the way through to June. Other schools use more of a semester-based approach. And there's no right or wrong answer to that. It's just the way that you've configured your data and the way that you configured your classes. Sometimes it has to do with the way your Student Information System is structured. I'm not going to get into too much about it, but there are times where your-- when I worked for Placer School for Adults, we had a combination of these three. So we had the medical training, which went all year long. We had semester-level high school diploma classes. And then we had a little 12-week classes, which we broke off, which were for CTE. So that led us to using extended ID, which is a whole different description. But let's go through and think about this for a moment now. I'm standing here, and I've got my arms out. You've got the whole year at a glance, and the event happened mid-March. So at that point, we only really have 15 weeks to go in the year. And if we ask ourself the question about, is there 50% of the class, if you've structured your classes so that they're a full year, the answer is no because you're going along just as you have, the picking up where you left off. And just the last 15 weeks or so are going to be distance learning. So for those classes, you're not going to mark it. For the 12-week classes, it's easy, as well, because those are little, tiny, short things that are starting in right now, around April 1st. And those will be definitely distance learning because that's all we can do right now. The semester classes are a little tougher, and you might have to calculate. And next slide, please. (DESCRIPTION) If your agency is continuing classes as scheduled, but just changing the delivery method to a distance learning context due to COVID-19, calculate whether or not 50% of the instruction overall is in a distance learning format, (SPEECH) Pick up where you left off, exactly. This is what we were saying. So if greater than 50% of the attendance will be distance learning, mark the class instance with distance learning. I put a little link here to www.weeksuntil.com. And I found that. And it was like, wow, this is great. It brings up a little calendar, and you type in the first day of your class and then the last day of your class. And you hit calculate, and it goes, oh, 14 weeks and 5 days. So you don't have to sit there with a calendar and a calculator. Next slide, please. (DESCRIPTION) Pick up where you left off. Start inputting your attendance into the D L category now, calculate 50% at the end of the closures or the end of the Program Year and mark it then. Please don't forget! (SPEECH) One of the questions I got in-- as when I was doing the Q&A box, was, well, when do we know? When are we going back? When will we return to our brick and mortar schools? If I had a million-- it's the $1 million question, really. And that's my crystal ball. The answer is starting putting your attendance into distance learning now, you can wait. Procrastinators, here's your one chance to be a procrastinator, and it's not going to bite you initially. You can do the calculation at the end of the closures. However, at least from what my newspaper said this morning, it's looking pretty grim about getting back into live teaching. But we'll see. I'm going to keep my fingers crossed. Next slide, please, Neda. (DESCRIPTION) Pick up where you left off. (SPEECH) All right. This is directly pilfered out of Jay's presentation, his example number one. So let me read it to you. We have an ESL class, starts 8/1, goes through the end of May. Regular classroom up through the event, but we switch to distance learning on March 23rd. So the question is, how do we mark it? So the two questions are, well, how long is the class run? It's a full year. And is it greater than 50%? No. So definitely we do not need to mark distance learning. (DESCRIPTION) Because less than 50% of instruction in this class was delivered outside the regular classroom (SPEECH) That's pretty easy. Let's go to the next slide. (DESCRIPTION) Class Instances. The Class Instances tab is open in TOPSpro Enterprise. (SPEECH) Here's our first peek at TOPSpro Enterprise. My goodness. I don't know if you can see this. That's why we put the screenshots in. The class instances, this is what I did. Let me start at the top. I'm waving my hands. I started with a little test agency, 9998, when we were working with classmates a few months ago. So I created some classes. I have a basic skills ABE class, which starts with a 7,000. I have a few ESL classes, which start with 8,000. And then I created some IELCE Google Suite and Spanish classes, which start with a 9. Immediately, I discovered that the only way to really be comfortable in this environment is to add the distance learning variables in the columns, which are bright yellow, which is like special programs, collect distance learning attendance, distance learning attendance duration. And so you can use your TE Data Manager knowledge. Go ahead use that right click, add those columns, and then save a schema. Create a new schema. (DESCRIPTION) Hint #1, Create new D L schemas for your favorite listers. Include the new variables related to Distance Learning. Click more at the top right of the screen (SPEECH) You can see the little mouse over there. You go up at the top. You do more, add a schema, give it a name, like distance learning, and you save it. So that every time you go into a class instance, it's going to look like that now. That's your hint number one. Take that one home. OK. Next slide, please. (DESCRIPTION) The 8001 E S L Advanced tab is open in TOPSpro. The Class Start Date 8 1 2019 and the Class End Date 5 31 2020 are highlighted. A box is around Distance Learning under Special Programs. (SPEECH) To illustrate the question, we had that ESL class. So here we're looking at a class instance information. We have a class that's all year long. It starts on August 1st-- that's the yellow highlight-- and it ends in March. And we see a little circular box around distance learning under special programs. And we did not check that box because it's less than 50%, exactly. Next slide, please. (DESCRIPTION) Add a checkmark next to Classroom plus Distance Learning in the Instructional Setting section. (SPEECH) All right. And here's that other one I mentioned, that if you want to check it, that now it's become a classroom plus distance learning, that's an option. Next slide. (DESCRIPTION) More Pick up where you left off. Example 2 (SPEECH) All right. Here's another example. Here's our ABE class, the 7,000 class. There's an ABE class beginning on March 1st, and it runs through May. This class was held in a regular classroom only for the first two weeks and then switched to distance learning on 3/23. Hmm. How do we mark this one? Right. We did our calculation with our little weeks until. We realized it's 12 weeks. So we're going to mark distance learning because more than 50% of the instruction will be delivered outside of the regular classroom. All right. Next slide, please. Is this making sense so far? (DESCRIPTION) Distance Learning is checked in the Special Programs section of Class Instance Information. (SPEECH) So here it is with the checkbox right where it belongs. Next slide, please. And so remember-- oh, back up one, please, Neda. Because the class had the first two weeks of classrooms and then switched to distance learning, we're going to use classroom plus distance learning. OK. Next slide. (DESCRIPTION) B, Start new classes specific to D L. If you are now offering distance learning and starting this activity as new classes with a new group of students, then create the new class in T E with the new Start Date. You may want to optionally label these with a specific title to distinguish them from other classes, D L -- For these newly created classes, mark Special Programs equals Distance Learning. For the classes that existed prior to COVID-19, leave them as regular, not Distance Learning classes (SPEECH) I'm going to just take a deep breath and let you read through this. Lot of words on this slide. I apologize. Now, this is the other option. If you're going to start a new class specific to distance learning because, like I said, there's a significant change, dates, times, roster, instructor, what you may want to do is to take the existing classes in TE, shorten them. And then create a new one, and mark that as distance learning. Let's go on to the next slide, and it'll start to make more sense. (DESCRIPTION) Start new classes specific to D L. (SPEECH) It's an example. An ESL class begins scheduled to run through the end. The last day of the regular class, we'll switch it up from May to move it to the 13th. And then we'll do a brand new class on 3/23. Next slide, please. (DESCRIPTION) In this example, the new class runs 12 weeks. Edit Class End Date for the regular E S L class from 5 31 20 to 3 13 20. And create a second class, marked for D L, starting 3 23 20 through 5 31 20 (SPEECH) That's the one. That's how we're going to do it. We're going to change the date and create a second class. Next slide. Can you go back one, please? There we are. (DESCRIPTION) Under the 8001 E S L Advanced tab under Class Instance Information, the Class End Date is highlighted and changed to 3 13 2020 and then Save located at the top left of the menu bar. (SPEECH) So we changed the classes. We took the long class that was the yearlong class, and we shortened it to end in March. That's bullet point number one. And then we hit save. Next slide now, please. (DESCRIPTION) Class Instance is greater than Intensity. In the Intensity box, Estimated Total Hours per Class slash Term is highlighted and the number 132 is entered in the box to the right. 1, Calculate reduced number hours, 180 minus 132 equal 48 hours, new class, 2, Save (SPEECH) And then what we did is we estimated the reduced number of hours. Sometimes agencies keep track of this, but it's important. If you shorten a class, it's important to subtract it out. So the new class we're going to create is shorter. It's only 48 hours, and this one is 132 instead of 180. All right. Next, please. (DESCRIPTION) In the Class Definition Information under the 8001 E S L Advanced tab, Extended ID has an arrow that points to a highlighted callout, Duplicate Class Definition (SPEECH) All right. Here's where the black belt of TE concerns. What we're going to do is we're going to duplicate the class definition. Next slide. (DESCRIPTION) Under Class Definition, 1, 8101 is the Class ID. 2, Class Description is highlighted and reads E S L Advanced D L AM. 3, Hit Save in the menu bar above Class Definition Information (SPEECH) And here's my hint to you. We're going to give the new class ID. Bullet point number two, if it's going to be 100% distance learning, it makes sense to put the DL in the class name, just to make it easier for yourself when you're switching around. Next slide, please. (DESCRIPTION) Anthony Burik (SPEECH) ANTHONY BURIK: Janice? JANICE FERA: And now we're going to duplicate. Yeah. ANTHONY BURIK: Yes, I'm sorry. This is Anthony from OTAN. So we've gotten a couple of requests to maybe slow down just a little bit. I think people need a little bit of time to process what you're saying and then also look at the screen, as well. Thanks. JANICE FERA: OK. Fair enough. (DESCRIPTION) Under the 8001 E S L Advanced tab, Class Instance Information, Class Description, 8,001, Twenty 19-2020 Year E S L Advanced A M has an arrow that points to the duplicate button on the menu bar above with the text Duplicate Class Instance. (SPEECH) The process of duplicating-- let me just stand back for one second. I know I'm going fast through this. And again, this is part of being a-- having a bunch of years as a data manager, that you know that when you go to create a new class-- and this is part of the presentation I was really debating whether I should even go over, because it is a brittle thing-- you duplicate the class definition first, and then you duplicate the class instance. This is all included in the slides. And if you follow through, I do believe that it will make sense. Also, technical support is complete-- CASAS tech support is completely well-versed in how to do this. So if you finish this presentation, you go off, you go onto the Rolling Hills Simulation Server, you try it once or twice, and it doesn't make sense, please call tech support. They're not as busy as they usually are. Oscar, Jessie, Martha, thank you, guys-- are probably all on here helping me out today. Trust me, it'll get easier as we go on. This is the hardest part of the presentation. If you can get through this, you've got it made. Next slide, please. (DESCRIPTION) The New Class Instance tab is open. Under Class Instance Information, Class Definition, 8101, 2,019 20 Year, E S L Advanced D L A M is entered. Under Class Instance, Class Start Date is 3 23 2020. Class End Date is 5 31 2020. Next to Special Programs, Distance Learning is checked. Hit Save. (SPEECH) So we created this tiny class instance that starts in March and ends in May. Then we marked special programs equal to distance learning, and we saved it. Next slide. (DESCRIPTION) Optional, Mark Instructional Setting equals Distance Learning only in the Instructional Setting section. (SPEECH) Of course, it's distance learning only. So we're going to mark that box, too. Next slide. (DESCRIPTION) Under the Class Instances tab, Special Programs column is highlighted. Text, Done! (SPEECH) So now, if you squint and look, you can see that we've taken 8,001, and we've shortened it. And 8,101 is just for distance learning, and it's just from March through May. And that new column, special programs, that you included shows that a distance learning box has been checked. OK, next slide. (DESCRIPTION) Summary of Options. Leave your current classes as is and merely start collecting D L minutes without changing the Class End Date. Or shorten an existing class and create a new one for the duration of the program year. For the shortened classes that existed prior to COVID-19, leave them as regular, not Distance Learning classes. Evaluate each current class using the 50% Rule. If distance learning hours are greater than 50% D L then mark Special Programs equals D L (SPEECH) So to summarize, it's important to leave the current classes as is if all you're going to do is change the delivery method. If you choose to shorten the class, then you need to make the adjustments here on the slide. And all classes need to be evaluated using the 50% rule, if 50% of the attendance hours for that class will be distance learning or not. All right. Onto the next. (DESCRIPTION) Slide title, Attendance with D L. Instructional Hours vs Distance Learning Hours (SPEECH) This is attendance. This is the part I like the best because we're talking about instructional hours and distance learning hours. Next slide. (DESCRIPTION) Distance Learning, N R S, three models of measuring distance learning instruction N R S. 1, Clock Time, assigns contact hours based on the elapsed time that a participant is connected to or engaged in an online or stand alone software program that tracks time. 2, Teacher Verification, Assigns a fixed number of hours for each assignment based on teacher determination of the extent to which a participant engaged in the assignment. 3, Learner Mastery, assigns a fixed number of hours of credit based on the participant completing content of each lesson. (SPEECH) This is straight out of Jay's presentation, the different ways that we can talk about distance learning. Clock time is two hours on Monday, two hours on Wednesday. Teacher verification is different. That's assigning different kinds of projects and assigning numbers of hours for each assignment. Learner mastery is more of a bulk sort of a thing, where you have credits based on completing content of lessons. Next slide, please. I'm not going to get into this. It's already covered in Jay's presentation. This is what I want to pay attention to. (DESCRIPTION) Distance Learning in T E. TOPSpro Enterprise, T E, has the capability to record exactl number of hours received via distance learning vs number of hours received in a regular classroom. Go to Edit, Class Instance, Intensity. 1, D L Interface Setting, 2, Distance Learning Duration, Minutes. Defines the default number of minutes per day for D L instruction and pre loads the attendance input screen (SPEECH) This is when you go into TE, and you can set two features that show whether it's learning in the classroom, in a regular classroom, or distance learning. And once you go into the class instance, and you're going to edit something called intensity. So there's a DL interface setting, which is toggled yes or no. And it allows the attendance screens to change so that you can mark distance learning right alongside of any kind of instructional hours. A really good one is number two. If you're using a daily method for counting your attendance, you can set the distance learning duration in minutes, and it will preload the attendance input screen. (DESCRIPTION) The Special Programs column is highlighted in the Class Instances tab. (SPEECH) Next slide, please. So let's take 8101 again and set it up for easier data entry. Next slide. So here's the two buttons. If you open up the ESL (DESCRIPTION) The Edit pencil icon is next to the word Intensity (SPEECH) Advanced 8101 class instance, and you scroll down to intensity, and you click on that to edit it, what we're going to do is we're going to change collect distance learning attendance from NA or no to yes. And then what we're going to do, because this particular class is 100% distance learning, the total cost duration in minutes up in the top right corner is 120. So we're going to preload with 120 minutes for this class into the attendance input screen. (DESCRIPTION) Distance Learning Duration in Minutes is highlighted and 120 is entered in the box. (SPEECH) Next slide, please. (DESCRIPTION) In the Navigator section on the left, Attendance is highlighted. In the Class Instance Information section on the right next to Class Description, 8,101, two thousand 19 20 Year, E S L Advanced D L A M is highlighted (SPEECH) All right. So now, if we're in there, and we click on attendance-- next slide-- (DESCRIPTION) Under Class Instance Information, a red arrow points to the edit button next to Attendance and Daily Attendance next to Attendance Source. The Distance Learning Attendance row is highlighted below along with the 120 numbers (SPEECH) there it is, slide 40, my favorite. This shows instructional attendance and distance learning attendance along side of each other, one right above the other. This is for our Tuesday, Thursday class. You can see the little checkbox underneath Tuesday, checkbox under Thursday. (DESCRIPTION) The fill buttons are to the right of Sorted by Name (SPEECH) Now, we're doing daily attendance. You see a little red arrow pointing at daily attendance. And when you click on fill, which are where the two little red arrows are towards the bottom, it pre-fills the 120 distance learning minutes into the student records for student test 1 and student 2. Next slide, please. (DESCRIPTION) Attendance, Cumulated slash Update. Under Attendance, Attendance Source, Student Update Cumulated is highlighted. Distance Learning is highlighted in the column below (SPEECH) Now, if you're using cumulated update, I can already see the word "cumulative" in the question and answer box, the answer is yes. You can also do distance learning minutes in using cumulated or update method. Just the difference is we don't preload the minutes into those fields because it's a keeping a running count value rather than a summation of minutes. It's like 2 plus 2 plus 2 is 6, that's how this is implemented. Then the third way to get attendance in the TOPSpro Enterprise-- next slide, please. (DESCRIPTION) Attendance via 3rd Party Import (SPEECH) Anybody know what this is, what we're looking at? Two points if you can type it in the chat box. What are we looking at? (DESCRIPTION) A section of an Excel file with 11 columns and 3 rows. (SPEECH) Yes. It's a CSV file, third-party import. Could be from any vendor actually. Which file is it? Yes. There's Jose, Tichelle. You guys all got it. This is the ATT file, which is imported. Actually, I did a quick test using a third-party vendor software last Friday, and it worked just fine. You can yank the data out of there that's been marked for distance learning, and it creates this little file. Works for cumulated, works for daily. And so that should save you all a little bit of time and trouble going forward. Next slide, please. (DESCRIPTION) Title, Students in D L, Special Cases, Students Who Are Predominately D L (SPEECH) We're making really good progress. My thought was, if we can get through most of the slides and we have a little bit of time left over, we can actually bring up TOPSpro Enterprise, and we can walk through it. Jay, are there any pressing questions in the chat box that you want me to slow down a little bit and address, or shall we trundle onwards? JAY WRIGHT: (DESCRIPTION) Jay Wright (SPEECH) I don't think so. I mean, you're asking. I'll just say the one that keeps coming up is calculating the 50% rule. The calculating the 50% rule is not anything that's really done automatically. It is something that you necessarily need to calculate. I'll just say, though, that that's the answer to about half the questions I'm getting is, do I have to do it this way or that way? The answer inevitably is it depends on whether it's more than 50% or less than 50%. If it ends up more, then you need to mark those distance learning extra fields. If it's less than 50%, you don't. So I just bring that up because that's been about half the questions, is usually just it's been some variation on that 50% rule. JANICE FERA: Thank you. JAY WRIGHT: That's it. Thanks. (DESCRIPTION) Janice Fera (SPEECH) JANICE FERA: Sure. And then the two questions I see open, yes, actually the test that I did was with an ASAP Database exporting and importing. So yes, as far as that synchronization between exports from that database into TOPSpro Enterprise, I would suggest, if you want to talk to ASAP technical support and get the additional details, yes. And the field we understand, Sarah, yes. That's part of the camaraderie of data among data managers. Students and distance learning. This is a special case. Our developers realize that there are times where you may have a class that's not necessarily distance learning, but you have a student in the way that they're engaged in learning that is now very much distance learning. (DESCRIPTION) Special Cases, Student equals D L -- Example 1, A student just joined a year-long class that has recently switched to D L -- Mark this particular student record as Special Program Entries equals D L. (SPEECH) It could be someone who is suddenly unable to go to class physically, but the teacher has made adjustments for them to do it outside the classroom. That's more the proxy hours with the learner mastery model. It could also be a student who joined a yearlong lab. Next slide, please. Oh, there we are. A student that joins a yearlong class that has recently switched to distance learning. Let me see if I have the next example. Hold one sec. Yeah, next slide, please. (DESCRIPTION) Example, Student equals D L, Under Class Instance Information, red arrows point to the Class Start Date 8 1 2019 and the Class End Date 5 31 2020. The Date Entered Class column is highlighted along with the 3 1 2020 date in the third row below it (SPEECH) So this student, if you look at this class, here's a class 8,001. And it's been going all year long, from August 1st-- that's the first red arrow-- to May 31st. But we have a student that joined back just recently on March 1st. That's the date that they entered the class. So this student, because of COVID-19, and now that everything as far as this class is concerned is going to go distance learning, we can mark the individual student record as being distance learning as compared to his peers. Next slide, please. (DESCRIPTION) In the 200204, Student4 tab under Status, in the Special Program Entries section, Distance Learning is checked. Text, Records, Students, In Program Years, find the student. Edit Student Record, Status, Special Program Entries, check Distance Learning (SPEECH) So here we go. So you can go records, student's records, or you can go records, student's program years, but the game is define the student. You can go either way. And then when you edit the student record, you scroll down to the status, the status up there on the top right corner, right under the New button. And then you set distance learning checkbox under for special program entries. That's it, and save it. Next slide, please. (DESCRIPTION) In the Student in Program Year Information section, the Special Program Entries column is highlighted. The More button is in the upper right corner of the gray menu bar. If this report shows hours from more than one source, please contact tech support since T E cannot add together hours from two different sources, so only the source with most hours is counted. (SPEECH) Oh, here's another one, hint number two. For your student records, also, you should create a schema that includes that additional column of special program entries and then go ahead. So you click on more, edit schema, give it a name, and save it. And that way, every time you come back to student records, it will come up this way. You might have to squish them. I'm moving my hands. I might have to squish them together a little bit to make them all fit, but you can narrow the columns. You know how to do that. Let's see. Next slide, please. (DESCRIPTION) NEW, Reports with D L. In the Instructional Hours tab, Special Options is highlighted. Text, Includes instructional hours, total student hours, learning gains, monthly attendance, and student test summary reports (SPEECH) Reports with distance learning. Anybody try the new reports? We added this in the new release called Build 75 just a couple weeks ago. What we did is we added this button here under special options so that you can run the reports for these 1, 2, 3, 4, 5 reports using instructional hours, or distance learning hours, or combined. So if you were to bring up the report setup, and then I'm looking over in the top left corner, the report set up navigator general settings, that's how you get here. You scroll down and click that button. So if you go off and generate it, you can see what kinds of output you get. Next slide, please. (DESCRIPTION) Reports with D L, Under Total Student Hours, Attendance Type Distance Learning Only is highlighted along with the notes under the chart. Text, Do not use this report to compare hours with N R S, C A E P or Payment Points since it does not take program into account. (SPEECH) And this is another new report that I am very, very excited about. This shows total student hours versus the ones that are imported using a daily method or accumulated. And then it also has a set of columns over on the far right, where it says hours that are uncounted. And this is Data Manager hat, put on your hint number three. (DESCRIPTION) Hint #3, Use this report to verify 3rd party attendance import is clean. (SPEECH) While you're sitting at home and you're getting your data ready for Q3, I suggest don't wait to the last minute. Go ahead and run this on chunks of your data. You can run it against a sequence of classes. You can run it on all your ESL classes, or you can run it site by site, however you want to do it. But this is how you verify that your attendance is clean, especially if it's coming over for third-party import. Sometimes we have a substitute that's doing the data entry, and they don't click the daily button, and it comes in cumulated. And TOPSpro Enterprise, when it's going to, at the end of the year, calculating the values for the different classes and the instructional hours, it needs to keep everything in the same column. So that's my third hint to you for that. Oh, your question, how do you run this report? It's under-- if we go into TE-- I'm going to do that in a minute. I think I've got enough time, we can probably go into TE. It's under the reports menu under demographics. It's called total student hours. All right. Next slide, please. Then input some distance learning minutes and then run a report, one of the DL, the distance learning enabled reports from the set of five there. You can mess with the date ranges. You can turn off DL minutes on and off and see how that works. Now, what we can do is summarize a little bit. Pull up our next slide, please. (DESCRIPTION) Summary. (DESCRIPTION) The Class Instances tab is open (SPEECH) It's my little test database. It doesn't have a lot of students. It's way smaller than what you guys deal with on a day to day basis. But for demonstrations, here is what we do. So we can go in and look at these different-- here's my ABE class. (DESCRIPTION) Janice clicks on the first row, 7001 Basic Skills A B E (SPEECH) Let's look at how that was set up. (DESCRIPTION) Click the pencil button next to Class Instance (SPEECH) When you want to edit it, you click on the little button icon here. And let's say that this is the class that went from March until May. So now, it's going to be more like distance learning. So we're going to check that box. (DESCRIPTION) In the Special Programs section (SPEECH) And it's classroom plus distance learning. (DESCRIPTION) In the Instructional Setting (SPEECH) And then we're going to scroll down some more, and we're going to click on intensity. (DESCRIPTION) She clicks the edit button next to Intensity (SPEECH) And we've got the distance learning minutes there is 120, and we're going to set this to yes. (DESCRIPTION) Collect Distance Learning Attendance interface setting to Yes (SPEECH) And up at the top, we're going to save it. (DESCRIPTION) Top left in the gray menu bar (SPEECH) Are you with me so far? So that's for the ABE class. We're going to let that save. (DESCRIPTION) She closes the window and then opens it again. In the Navigator section on the left, she clicks on Attendance. (SPEECH) So now I want to do attendance. Click on the little pencil. (DESCRIPTION) Attendance Source is Daily Attendance (SPEECH) Ah, darn it. This is one of my classes I don't have any students in. My bad. Hang on. This is what happens when I go off-script. Argh. Let's grab a different one that's got some classes, students in it. (DESCRIPTION) She clicks on 8004 E S L Intermediate (SPEECH) So we can always check class enrollments to see who's in there. Here's some students. (DESCRIPTION) She clicks on Class Enrollments under Navigator, clicks on Attendance She clicks on Edit slash View and clicks the edit button next to Class Instance and clicks on Distance Learning in the Special Programs section and Classroom plus Distance Learning in the Instructional Setting section (SPEECH) So let's take a look at this one. So this is a yearlong class. So it's not distance learning, but we do want to mark that. (DESCRIPTION) Under Intensity, Collect Distance Learning Attendance interface setting is set to Yes. (SPEECH) We have yes set for the interface. So now when we do attendance, you'll see that screen from slide number 40 that we were talking about. (DESCRIPTION) She clicks on Attendance under Navigator and the Attendance calendar shows up (SPEECH) And there it this. So this was a Monday and Wednesday class, and we have two students in the class. (DESCRIPTION) She clicks on Fill under each day in the Sorted by Name row (SPEECH) So you can just type-- click on fill, and it puts the 120 in. I'm going to click on fill here, and it puts in the 120. And you can save it. Oh, and save isn't at the top. It's over here. (DESCRIPTION) She pulls the bottom scroll bar to the far right to click on Save in the upper right corner (SPEECH) So we can run reports, as I mentioned, instructional hours. (DESCRIPTION) Under Reports in the top black menu bar, she chooses Demographics, Instructional Hours. Under Report Setup Navigator she clicks on General Settings (SPEECH) And we can go down. In the general settings, we can look if we want to show instructional, distance learning only, or combined. (DESCRIPTION) In the Attendance Type section, Combined is selected (SPEECH) I see your hand up, but I'm not going to stop. I'm sorry. One sec. Let's see if there's anything else. Let's run it at the agency level because it's such a small school. (DESCRIPTION) Under Special Options, Reporting Level she selects Agency and then clicks on the Generate button in the top middle of the gray menu bar. The Instructional Hours chart by agency is generated. (SPEECH) So we have our students. (DESCRIPTION) The Daily column is the last column on the right (SPEECH) And then under daily, we show the distance learning only hours for each of the students with a total. That's how that works. (DESCRIPTION) She closes two windows to go back to the Class Instances tab. (SPEECH) Now, there was one place where we were looking at a class, their class instances. I'm trying to remember which one it was. I think it was ESL Intermediate (DESCRIPTION) She clicks on E S L Intermediate (SPEECH) and who's enrolled. This is the one where we had a student that-- oh, here we go. Let's squish this together a little bit better. We had a student that was enrolled in March for a yearlong class. So let's say we want to mark this student as being a special distance learning only student. So we can either do record, student records, and bring up student test score. That works, or we can just double click on the student. (DESCRIPTION) Under Class Enrollment Information, she clicks on the link next to Student. (SPEECH) Get into it this way. (DESCRIPTION) She on Student Records in the Navigator section on the left (SPEECH) I already checked it as part of when I was doing the screenshots for this. But you go down to status, and you check distance learning right here. (DESCRIPTION) Under Student Record Information in the Special Program Entries section (SPEECH) So that marks this particular student for distance learning, even though they're in a class where predominantly the rest of the people aren't. (DESCRIPTION) She closes the other open windows. The Class Instances window is open. (SPEECH) I had another one I wanted to show you. Actually, I went into-- you can actually do bulk edit. I didn't include this in the PowerPoint because I was running out of time. But you can select a group of classes. Let's say this DL class, I'm going to hold down the control key and this DL class. (DESCRIPTION) She selects two classes at once. (SPEECH) And you can do an actually batch edit, not bulk edit, batch edit. (DESCRIPTION) The Batch Edit window opens. Under Class Instance Information, Class Instance she scrolls down to the Special Programs section, checks the box, and clicks the Distance Learning checkbox to the right. (SPEECH) And you can go ahead and make a change to it. Like if both of these were going to make sure that their special program equal the distance learning, you can go up here to the top and save it. (DESCRIPTION) Top left of window. A pop-up window reads Credentials to confirm batch edit. Batch edit requires a second set of user credentials registered at the same container, state, agency or site, as the current user and with the proper data access rights to proceed. User name and Password fields are below. (SPEECH) And this is one of those ones where you have to have a secondary ID, the credentials, the second log in and password. If you're on our half, that's easy to do. There's all the different logins of administrator 00 through I think it's 50. But this machine, I only have my one. So I'm going to cancel out of that. Do I want to save changes? No. And likewise, you can batch it at classes and make that change if you want to change the intensity or the-- to set the flag for collecting. This is the flag, that yes/no one, collect distance learning attendance. Now, you can't do-- I'm not going to go on a limb and say this, but I didn't find a way initially that you could batch edit a whole bunch of student records to change their special program settings. So we're just going to skip that one for now because I couldn't find a great way to do it. Now I'll flip over and look at the chat. Is there anything else, Jay, that people are begging to see that I haven't tried yet, or just do something again slower? (DESCRIPTION) Jay Wright (SPEECH) JAY WRIGHT: Sorry. I had to unmute. I was buried in Q&A here. No. JANICE FERA: Oh, sorry. JAY WRIGHT: There's no real theme. There are, like people have-- I think it took people 20 or 30 minutes to get savvy to Q&A. But now everybody has, so now everybody is digging in. JANICE FERA: Ah, I see. It's definitely a different interface for those of us who are really comfortable with Zoom meetings. Adding a second place for the presenters as well as the attendees to read becomes problematic. I know in the answered box, when we were doing it last time, that you had to view all or collapse all, that you couldn't actually see the answers as they were happening, which is kind of crazy. So let me see. We have TE. I'm just going to scroll around and pick. Collecting attendance, semester-long classes, yearlong, checking for understanding. Erica, you nailed it. So if you have a class that's-- here, OK, let's put this out to the group. We have a class that starts. It goes year round. It begins in July and ends in June. 50% of the class has been-- of the class is instructional hours. So we don't need to change the class to DL unless it exceeds the 50%, right? Right. So now, from here on out, those hours are going to be logged as distance learning, because that's a teacher doing pretty much the same thing they've always done, whether it's live over Zoom, or even some agencies are considering live Zoom recorded and watched later, although that's a little bit more problematic for taking attendance. But definitely, by converting it from live in a brick and mortar to live over a webinar type environment, that is a simple change of just logging the distance learning hours in the other column. And if a student starts a class that's a year long class late in February, then that student needs to be marked as distance learning in the student record as special programs. Anything else?
